“The file you selected is for a different account”

QuickBooks remembers which bank account number a Web Connect file belongs to. When the number inside the new file does not match the one it recorded, it stops the import rather than filing your transactions into the wrong ledger — a good instinct with an unhelpful error message.

Symptoms

  • Importing a .qbo file raises a mismatch warning naming a different account
  • The error appears after a bank merger, a card reissue, or switching account types
  • The file imports correctly into a newly created account but not the existing one

What actually causes it

Cause 1

The ACCTID in the file changed

Every Web Connect file carries an ACCTID — the bank account number as the bank states it. Reissued cards, merged banks and upgraded account products all change this value while you still think of it as the same account.

Cause 2

The file belongs to a different account entirely

Downloading while the wrong account was selected on the bank site produces a perfectly valid file for the wrong ledger. Worth ruling out before assuming a bug.

Cause 3

The bank identifier changed after a merger

When banks merge, the routing/bank id inside the file changes too. QuickBooks treats the combination as a different account even when the balance and history are continuous.

How to fix it

  1. Open the file in the fixer below to confirm it is structurally sound — a mismatch warning on top of a malformed file wastes a lot of time.
  2. Open the file in a text editor and find the ACCTID value, then compare it with the account number QuickBooks shows for that account.
  3. If they genuinely refer to the same account, disconnect the account from bank feeds and reconnect it so QuickBooks records the new identifier.
  4. If they refer to different accounts, import into the correct one — do not force the match, or your reconciliation will be wrong from that day on.
